Custom software vs off-the-shelf — which is right for your business?

Ready-made software is quick and affordable. Custom software fits like a glove. Here is a plain guide to choosing between them — and when to combine both.

Sooner or later every growing business asks the same question: should we buy software that already exists, or have something built just for us?

There is no single right answer. But there is a right answer for your business, and a few honest questions will usually reveal it.

What "off-the-shelf" means

Off-the-shelf software is a ready-made product that many businesses use — accounting packages, online shop platforms, customer management tools and so on. You pay a subscription or licence and start using it almost immediately.

It is a good choice when:

  • your needs are common ones, such as bookkeeping, payroll or email
  • you need to be up and running quickly
  • your budget is limited and predictable monthly costs suit you
  • you are happy to adjust your process to the way the software works

The trade-offs:

  • you pay for features you never use, and may miss ones you need
  • subscription fees continue for as long as you use it, and rise as your team grows
  • your data and your processes are shaped by someone else's product decisions

What "custom" means

Custom software is designed and built around the way your business actually works. Nobody else has the same system, because nobody else has the same business.

It is a good choice when:

  • the way you work is part of what makes you competitive
  • you are forcing several tools to work together with spreadsheets and manual copying
  • no existing product fits your industry, your regulations or your local payment methods
  • you want to own the system rather than rent it

The trade-offs:

  • a higher cost at the start
  • it takes time to design, build and test properly
  • you need a development partner you can trust for the long term

Five questions that settle it

  1. Is this process what sets us apart, or is it standard? Buy software for standard work. Consider building for the work that makes you different.
  2. How much are the workarounds costing us? Add up the hours your team spends fighting the current tools each month. That number is often bigger than expected.
  3. How many people will use it, and for how long? Subscription costs multiplied over many users and many years can exceed the cost of building.
  4. Does it need to connect to our other systems? Integration is where ready-made tools most often fall short.
  5. What happens if the supplier raises prices or shuts down? If the answer is "our business stops", ownership matters.

The answer is often "both"

Most businesses do best with a mix: ready-made software for common tasks, and a custom system for the part of the business that is unique — with the two connected so that information flows between them.

It also does not have to be all at once. A sensible approach is to build the smallest useful version first, put it in front of real users, and grow it from there.
